IFIC People Hub Privacy Policy
IFIC Bank PLC (“the Bank”) operates the IFIC People Hub mobile app to help employees manage HR tasks such as leave, attendance, TA/DA approvals, HR reports etc. This Privacy Policy explains how employee information is collected, used, shared, and protected when the app is used. By using the app, employees acknowledge that they have read, understood, and agreed to the terms of this Privacy Policy.
IFIC Bank PLC is strongly committed to protect the privacy of its employees and has taken all necessary and reasonable measures to safeguard the confidentiality of any information that is transmitted through this employee interface.
As you review this Privacy Policy, here are a few general principles to keep in mind:
1. Agreement to Policy:
By downloading and installing IFIC People Hub App on your mobile device, you confirm your affirmative consent to all the terms of this Policy detailed below and comply with any other security procedures that we may establish from time to time.
2. IFIC People Hub Service:
The IFIC People Hub app is an IFIC employee interface through which HR services such as leave, attendance, TA/DA approvals etc. can be accessed by employees.
3. Collecting and Using of Information:
Personal data is not stored or collected by the app itself. Any information, including employee login credentials, attendance, leave, or TA/DA records, is securely managed by the Bank's HR systems. The employee's device may be interacted with by the app (for example, to check login sessions) to ensure smooth usage, but employee personal data is not recorded. If location-based attendance features are used by the Bank, employee location will only be accessed upon explicit permission.
4. Purpose of Using Employee Data:
Employees' information is used by the Bank solely to manage HR tasks and to ensure the smooth functioning of the app. This includes the secure verification of employees' login credentials, the recording of attendance and leave transactions, the processing of TA/DA claims and generation of reports for management. The information is also used to ensure compliance with the Bank's HR policies and applicable legal & regulatory requirements.
5. Right to Access in HR Information:
Employees' HR information is accessible only to authorized HR staff, administrative officers, and IT administrators who manage the system. In some cases, the data may be processed by a system vendor on the Bank's premises, but strict confidentiality and data protection rules must be followed as agreed with the Bank.
We will disclose information to third parties about your account or the transactions you make, and you authorize us to do so, ONLY in the following situations:
- In order to comply with the requirements of the regulatory body or legal authority for a legitimate purpose
- In order to address, rectify, ameliorate or mitigate fraud, security or technical issues.
- With our trusted service providers (when required) who work on our behalf and do not have an independent use of the information we disclose to them, and have agreed to adhere to the rules set forth in this Privacy Policy.
6. Data Retention:
Employee personal data is retained by the Bank only for as long as it is needed to provide HR services or to comply with the Bank's data retention policies. To safeguard employee information, strong technical and organizational measures have been implemented by the Bank, including secure authentication, role-based access control, and regular system monitoring. These measures are designed to protect the data from unauthorized access, alteration, or disclosure.
7. Right to access in Employee Information:
Depending on the Bank's HR policies, access to, viewing of, and review of personal information stored in the HR system can be exercised by employees. Corrections or updates can also be requested by employees to ensure that their data is accurate and complete. In addition, for certain features of the app that require explicit consent, withdrawal of consent can be made by employees at any time. Requests to exercise these rights can be submitted through the Bank's HR department or official support channels, and they will be handled in accordance with internal HR policies.

We may update this Privacy Policy periodically to reflect changes in our data practices or regulatory requirements.

- Protecting the confidentiality of your information is very important to us. We have established appropriate physical, electronic, and procedural safeguards to protect information we collect from or about our users. For example, we limit access to this information to authorized employees and vendors who need to know that information in order to operate, develop or improve our Mobile Application. These safeguards are regularly reviewed to protect against unauthorized access, disclosure and improper use of your information and to maintain the accuracy and integrity of that information.
- Domain user ID and Passwords are used to help safeguard against unauthorized access to your information through the app. As always, we strongly encourage you to assist us in that effort by not sharing your User ID and Passwords with anyone.
- We take reasonable security measures to help protect your information, both during transmission and once we receive it.
- We shall not incur liability for any breach of security, which is not attributable to the fault or negligence on the part of IFIC Bank or is beyond the control of the Bank in spite of taking reasonable measure to protect.
11. Consent to Submitting Request:
If you are located outside Bangladesh, please be aware that information we collect through the App will be transferred to and processed in Bangladesh. By using the App or providing us with any information, you fully understand and unambiguously consent to this request, processing and storage of your information in Bangladesh.
12. Force Majeure:
Without prejudice to any other provision herein, IFIC Bank shall not be liable for any loss, damage or penalty as a result of any loss of information due to any cause beyond IFIC Bank’s control, including, without limitation, acts of the User, governmental act. Any unlawful access to the users’ information comes’ within the scope of a ‘Force Majeure’ event.
